Claremont Community Foundation
Confidentiality and Privacy Policies
1. Data Confidentiality:
Contact information, contribution records, and biographical
information of Foundation volunteers, donors, and friends/donor
prospects will be maintained in confidential files (electronic
and/or hard copy), with access restricted to authorized users
(Foundation staff and volunteers on a need-to-know basis).
Mailing and contact lists will not be sold or given to any
individual or organization. Occasionally, with approval of
the Foundation's Executive Committee and/or Board, selected
names and addresses from the Foundation database may be shared
with other community organizations or groups during the process
of collaborating on programs or joint activities which further
the mission and goals of the Foundation.
2. Donor Privacy:
We maintain records of all contributions to the Claremont
Community Foundation. Authorized staff and/or volunteers of
the Claremont Community Foundation may contact donors to obtain
additional information or to communicate information about
the Foundation. This may be done through electronic or telephonic
means, or through postal mail. Donors may choose to opt out
from or restrict the use of contact information by contacting
Claremont Community Foundation through one of the methods
below. Donor names and addresses shall not be shared, unless
required by law, or sold to outside organizations, and such
policy shall be disclosed to donors. Unless requested not
to do so by the donor, Claremont Community Foundation may
list the donor's name and donation category in publications
of Claremont Community Foundation. This information may be
contained in documents including, but not limited to annual
reports, press releases, grant applications or newsletters.
Donors may contact Claremont Community Foundation to view
copies of annual reports, IRS (Form 990) or other financial
documents prior to making the donation. Donor may also ask
for examples of prior publications showing the manner in which
donor contributions are acknowledged.
